An AI sales agent is software that contacts and responds to your leads for you: it phones them, answers on email or text, holds a real conversation, and books meetings into your calendar, all inside your CRM. It does the first-response and follow-up work that busy teams fall behind on, then hands each lead to the right person when a human is needed.

This guide explains what an AI sales agent does, why speed matters, how a business with more enquiries than staff can use one to answer or redirect them, what UK GDPR and the other UK and EU rules require, and when you are better off without one.

Key points

  • An AI sales agent works your leads on the phone, by email and by text, and books meetings. It is not just a chatbot or an automated email sequence.
  • It is most useful when enquiries arrive faster than your team can answer them, or arrive out of hours.
  • You can use it to handle first contact completely, or to route each enquiry to the right team, person or calendar.
  • The law still applies. UK GDPR and PECR cover the data it uses and the calls, emails and texts it sends. In the EU, the AI Act now requires people to be told when they are talking to an AI.
  • It is a poor fit if you get only a few enquiries, or if every sale depends on a long, personal relationship.

What is an AI sales agent?

An AI sales agent is a piece of software that does part of a salesperson’s job. It can start a conversation with a lead, understand the reply, answer questions about your business, and move the lead to the next step, usually a booked meeting or a call with your team.

It helps to separate it from tools that sound similar:

Tool What it does Where it falls short
Automated email sequence Sends pre-written emails on a schedule Cannot understand a reply or change course
Website chatbot Answers questions typed on your website Waits for the visitor; does not phone or follow up
IVR phone menu “Press 1 for sales, 2 for support” Routes calls but cannot hold a conversation or book anything
AI sales agent Calls, emails and texts leads, holds a spoken conversation, books meetings and logs it all to the CRM Needs clear rules, connected tools and a lawful basis for contacting people

What an AI sales agent does

Most AI sales agents do two kinds of work.

Outbound: following up the leads you already have. When an enquiry lands in your CRM, the agent contacts the lead. It can phone them and talk, send an email from your own mailbox, or send a text. If there is no reply, it tries again on another channel, within limits you set. When the lead is ready, it offers free times from your calendar and books the meeting.

Inbound: answering calls that come in. An AI assistant can pick up calls to your business number, greet the caller with your company name, answer common questions, book an appointment, or put the caller through to a real person when they ask for one.

In both cases, everything said and done should be logged against the lead, so your team can pick up exactly where the agent left off.

Why response speed matters

People who send an enquiry are usually contacting more than one business. The first business to give a useful answer often has the advantage, because the customer’s need is fresh and nobody else has spoken to them yet. Leave it until tomorrow and the lead may have booked with someone else or lost interest.

For a small team, speed is hard to keep up. Enquiries arrive while you are on a job, in a meeting, or asleep. An AI sales agent closes that gap: it can reply within minutes, inside the business hours you choose, without anyone dropping what they are doing.

It also fixes the quieter problem of follow-up. Many leads are not lost because the first answer was wrong, but because nobody chased them a second or third time. An agent never forgets the follow-up.

Too many enquiries? Answer them all, or send each one to the right team

If enquiries regularly arrive faster than your team can handle them, there are two ways to use an AI sales agent. Most businesses end up using a mix of both.

Option 1: let the AI handle first contact

Here the agent takes the first conversation for every new enquiry, so no lead waits.

  • New leads: the agent contacts them, answers basic questions and books a meeting. Your team only joins once a meeting is in the diary.
  • Incoming calls: the AI assistant answers every call, including the ones your team would otherwise miss at busy times or after hours.
  • Old and cold leads: point the agent at leads nobody has had time to chase, and let it re-open the conversation.

This works best when most enquiries need the same first step, such as a site visit, a quote call or a demo.

Option 2: redirect each enquiry to the right team

Here the agent acts as a smart front desk. It takes the first contact, works out what the person needs, then passes them to the right place.

  • A separate assistant for each team or branch. Give sales, support and each branch their own phone number, each answered by its own AI assistant with its own greeting and instructions.
  • Transfer to a real person. When a caller asks to speak to someone, the call can be put through to the number you choose for that team.
  • Book into the right diary. Appointments booked by the assistant can be assigned to a named team member, who gets the notification.
  • Divide leads by pipeline stage. Run separate agents for different stages, so the AI chases new and cold leads while your salespeople keep the warm ones.
  • Assign leads before the AI sees them. CRM automations can send leads to a user or team based on their source or details, leaving the AI to work only what is left.
  • Hand over the moment a lead replies. The agent stops, alerts a nominated team member and creates follow-up tasks from what was said, so the lead’s owner knows what to do next.

Which set-up suits you?

Your situation Suggested set-up
Calls go unanswered at busy times AI assistant answers incoming calls and transfers to a person on request
Web enquiries wait hours or days for a reply Outbound agent contacts each new lead and books a meeting
Sales and support enquiries arrive on the same line Separate numbers and assistants per team, each with its own transfer number and diary
Several branches or regions One assistant per branch number, appointments assigned to that branch’s staff
Salespeople have no time for cold leads Agent works early and cold pipeline stages; salespeople keep warm leads

GDPR and the rules for AI calls, emails and texts

An AI sales agent handles personal data and contacts people for you, so the same rules apply as if a member of staff did it. In some areas they are stricter. This section summarises the main UK and EU rules as of October 2026. It is general information, not legal advice, so check anything you are unsure about with the ICO’s guidance or a data protection adviser.

1. Have a lawful basis, and say so in your privacy notice

Under UK GDPR (and EU GDPR for leads in the EU), you need a lawful basis for using a lead’s details. When someone has sent you an enquiry, contacting them about that enquiry will usually rest on legitimate interests or on taking steps they asked for. Your privacy notice should explain that you use automated tools, including AI, to respond to and follow up enquiries, and that calls may be recorded or transcribed.

2. Tell people they are talking to an AI

In the EU, the AI Act’s transparency rule has applied since 2 August 2026: people must be told when they are interacting with an AI system, unless it is obvious. UK law has no identical rule yet, but UK GDPR’s fairness and transparency principles point the same way, and callers who discover it later tend to feel misled. The simplest fix is a greeting that says so, for example: “Hi Sarah, this is Ava, the AI assistant for Northgate Interiors.”

3. Know which calling rules apply

UK marketing calls fall under the Privacy and Electronic Communications Regulations (PECR):

  • Live marketing calls must not go to numbers registered with the Telephone Preference Service (TPS) or, for businesses, the Corporate TPS, unless that person has told you they are happy to get your calls.
  • Automated marketing calls that play recorded messages need the person’s specific prior consent. The ICO has not yet said clearly whether an AI that generates speech live counts as an automated call. Until it does, the safe approach is to treat AI marketing calls as automated and only make them to people who have agreed to be called.
  • Replies to a request are different from cold marketing. If a lead has asked you to call them back about their enquiry, calling them is not unsolicited marketing. Keep a record of the request.
  • Inbound calls are not marketing calls, so the TPS and automated calling rules do not apply when your AI assistant answers someone who called you. Data protection rules still do.

4. Emails and texts need consent or a soft opt-in

Marketing emails and texts to individuals, including sole traders and partnerships, need either their consent or the “soft opt-in”: they bought from you, or started to, and you gave them a simple way to opt out at the time and in every message. Emails to people at limited companies do not need consent, but you must identify yourself and offer an opt-out. Every message the agent sends must have a working way to unsubscribe, and opt-outs must be honoured immediately.

5. Treat recordings and transcripts as personal data

Call recordings, transcripts and AI summaries are personal data. Decide how long you keep them, restrict who can see them, and include them when someone asks for a copy of their data or asks you to delete it.

6. Keep humans in charge of important decisions

UK GDPR restricts decisions made solely by automated means that have legal or similarly significant effects on a person. Booking a meeting or answering a question is not that kind of decision. But do not let the AI turn people down for credit, finance or a job. Leave decisions like those to a person.

7. Check your supplier

Your CRM and AI provider will process personal data for you, so you need a data processing agreement with them, and you should know where the data is stored and whether it leaves the UK or EU.

The cost of getting it wrong

Since 5 February 2026, the Data (Use and Access) Act 2025 has let the ICO fine PECR breaches, such as unlawful marketing calls, emails and texts, up to £17.5 million or 4% of worldwide turnover, the same level as UK GDPR. Before that, the PECR maximum was £500,000. In the EU, breaking the AI Act’s transparency rule can cost up to €15 million or 3% of turnover. Outside the UK and EU, other rules apply, such as the TCPA in the United States, so check the rules wherever your leads are based.

A quick compliance checklist

  • Privacy notice mentions AI follow-up, and call recording or transcription
  • The greeting says the caller is speaking to an AI assistant
  • Outbound marketing calls only to people who have agreed to them; TPS checked for live calls
  • Consent or soft opt-in recorded for marketing emails and texts
  • Opt-outs stop all contact, on every channel, straight away
  • Calls only within reasonable hours, with limits on how often a lead is contacted
  • Retention period set for recordings and transcripts
  • Data processing agreement in place with your provider

How a well-built agent helps you stay within the rules

Software cannot give you consent you do not have, but good guardrails make the rules much easier to follow. Look for an agent that:

  • Detects opt-outs automatically and stops all contact on every channel.
  • Respects business hours in each lead’s timezone, with weekends switched off if you want.
  • Limits how often it contacts a lead, such as a maximum per week and a minimum gap between follow-ups.
  • Contacts one channel at a time, rather than calling, emailing and texting at once.
  • Sends from your own verified number and mailbox, so people know who is contacting them.
  • Keeps a full record of every call, email and text, and each lead’s unsubscribe status.

When an AI sales agent is not the right fit

An AI sales agent is not for every business. Think twice if:

  • You get only a handful of enquiries a week and can already answer each one quickly yourself.
  • Every sale depends on a long, personal relationship, such as high-value bespoke work where the customer expects to deal with the owner from the start.
  • Your leads came from bought lists or anywhere without a clear lawful basis. An AI agent will only make those contacts faster, and the risk bigger.
  • You cannot describe your offer clearly. The agent can only be as good as the instructions and information you give it.

What to look for when choosing an AI sales agent

  • It lives in your CRM, so every conversation lands on the lead’s record without copying data between tools.
  • It works across channels: phone, email and text, not just one of them.
  • It hands over cleanly, stopping when a lead replies, transferring calls to a person on request, and creating tasks for your team.
  • It books real availability, from your actual calendar, not a generic booking link.
  • You set the rules: hours, limits, tone and which leads it works.
  • It is transparent, with reports and full logs of what it said and did.
  • It refuses to run when something is broken, such as a disconnected mailbox or calendar.

How the Telagus AI sales agent works

The Telagus AI sales agent is built into the Telagus CRM, so it works from the same lead records, pipeline and calendar as your team.

  • Phone, email and text: it phones leads and holds a spoken conversation in a male or female voice, emails from your connected Gmail or Outlook account, and texts from a verified number on your account. With no reply, it rotates email, text and call, one action per lead at a time.
  • Inbound calls: an AI incoming call assistant can answer each of your numbers, with its own greeting and instructions. It can transfer callers to a real person and assign the appointments it books to a chosen team member.
  • Books real meetings: it offers two or three genuinely free slots from your Google or Outlook calendar and stops chasing once a meeting is booked.
  • Your rules: business hours per timezone, weekends on or off, maximum contacts per week, minimum days between follow-ups, and a formal, neutral or friendly tone.
  • Hands back to you: it stops when a lead replies, alerts a nominated team member and creates follow-up tasks from what was said on the call.
  • Opt-outs: “stop”, “unsubscribe”, “opt out”, “remove me” and “do not contact” unsubscribe the lead instantly, on any channel.
  • Full records: every call, email and text sits on one timeline per lead, with reports for each agent.

You can set it up by answering questions on a phone call or in your browser, or with a three-step wizard. If you are new to CRMs, start with our guides to what a CRM is and how lead management works.

Frequently asked questions

What is an AI sales agent?

An AI sales agent is software that contacts and responds to leads for a business. It phones, emails and texts them, holds a conversation, answers questions and books meetings, logging everything in the CRM.

Can an AI sales agent replace a salesperson?

It can replace much of the repetitive work, such as first contact, follow-ups and booking meetings, but not the judgement and relationships needed to close larger or more complex sales. Most businesses use it so their salespeople spend their time on the leads that are ready to talk.

Is it legal to use an AI to call leads in the UK?

Yes, if you follow UK GDPR and PECR. Have a lawful basis for using the lead’s data, tell them they are speaking to an AI, and for marketing calls only call people who have agreed to them. Until the ICO says otherwise, the safe approach is to treat AI marketing calls as automated calls, which need specific prior consent. Calling someone back at their request, and answering calls they make to you, are not marketing calls.

Do I have to tell people they are talking to an AI?

In the EU, yes: the AI Act has required it since 2 August 2026, unless it is obvious. In the UK it is the safest approach under UK GDPR’s fairness and transparency principles. A greeting such as “this is Ava, the AI assistant for your company” does the job.

How can an AI sales agent help when we get too many enquiries?

It can answer every enquiry and call within minutes, then either handle the first conversation itself or route the person to the right team. It does this with separate assistants per number, transfers to a real person, appointments assigned to named staff and hand-over as soon as a lead replies.

What happens if a lead asks the AI to stop?

A well-built agent unsubscribes them immediately on every channel. In Telagus, words such as “stop”, “unsubscribe”, “opt out”, “remove me” and “do not contact” end all contact straight away.
