For a 5-person team marketing to 10,000 leads, the year-one cost of a CRM ranges from $890 to almost $20,000. In our CRM pricing comparison, Telagus costs $890, Zoho CRM about $1,380, monday CRM about $1,680, Pipedrive about $2,160 and HubSpot between $6,600 and $19,700.
CRM pricing pages are built to show the lowest number possible. A “from $14 per user” headline rarely survives a real team. You add users, import your lead list and start emailing those leads, and the bill climbs. Some vendors charge per seat, some per contact, and some sell email marketing as a separate add-on.
To compare fairly, we priced one realistic scenario across five popular CRMs:
- 5 users on the team
- 10,000 leads stored in the CRM
- Email marketing to those leads from inside the CRM
- Annual billing, list prices in USD, excluding VAT
Prices were taken from each vendor’s pricing page in November 2026. Where a vendor does not publish a figure, we used independent pricing guides and say so below.
CRM pricing comparison: 5 users, 10,000 leads, year one
Each plan is the lowest tier that handles 10,000 leads and email marketing for 5 users.
| CRM | Plan needed | Pricing model | Cost per month (5 users) | Onboarding fee | Year-one total (USD) |
|---|---|---|---|---|---|
| Telagus | Growth | Flat, up to 5 users | About $74 | None | $890 |
| Zoho CRM | Professional | Per user ($23) | $115 | None | $1,380 |
| monday CRM | Pro | Per seat ($28), 3-seat minimum | $140 | None | $1,680 |
| Pipedrive | Growth + Campaigns add-on | Per seat ($24) + add-on | About $180 | None | About $2,160 |
| HubSpot | Marketing Hub Starter | Per seat ($20) + contact blocks | About $550 | None | About $6,600 |
| HubSpot | Marketing Hub Professional | Platform fee ($800) + seats + contact blocks | About $1,390 | $3,000 | About $19,700 |
Telagus is billed annually at $890, so the monthly figure is rounded; on monthly billing, Growth is $89 a month. monday CRM’s Standard plan caps contacts and deals at 10,000 combined and has no mass email, so Pro is the realistic tier. Pipedrive’s figure includes the Campaigns add-on at the 10,000-subscriber tier ($720 a year). HubSpot does not publish its extra-contact prices, so both HubSpot rows use rates from independent pricing guides. HubSpot Starter only allows simple automation, which is why many teams end up on Professional.
Where CRM costs creep in
Each vendor’s headline price hides a different growth charge. Knowing which one applies to you matters more than the starting price.
HubSpot charges for contacts. Marketing Hub bills by “marketing contacts”, the people you email or target with ads. Professional includes only 2,000, and extra contacts are sold in blocks of 5,000, about $250 a month each according to independent pricing guides. Bands only move up automatically, so one large import raises the bill straight away. Professional and Enterprise also carry mandatory onboarding fees of $3,000 and $7,000. For a feature-by-feature look, see our HubSpot alternative guide.
Pipedrive charges for add-ons. The core plans are priced per seat, but email marketing campaigns need the separate Campaigns add-on, which scales with subscribers: about $60 a month at 10,000 on annual billing. Lead capture forms, web visitor tracking and project tools are further add-ons.
Zoho CRM charges per user. It is fair value for small teams, but every new hire adds a monthly cost. Built-in mass email is capped per day, so regular newsletters usually mean adding Zoho Campaigns. Our Zoho CRM alternative guide covers the features side, and how to move your Zoho data across.
monday CRM charges per seat. Seats are sold with a 3-seat minimum, and mass email is only included from the Pro plan up.
Telagus charges one flat plan price. Growth covers up to 5 users, 20,000 leads and 240,000 marketing emails a year for one annual fee. Your second, third, fourth and fifth user cost nothing extra.
What the Telagus price includes
Telagus comes out cheapest in this scenario because it bundles what other CRMs sell separately, with no per-user or per-contact charges inside a plan.
- One price for the whole team. $890 a year for up to 5 users, against 5 separate monthly charges on Zoho, monday or Pipedrive.
- Room to grow your list. 20,000 leads, double this scenario, before you need a bigger plan.
- Email marketing included. 240,000 marketing emails a year, with no campaigns add-on or subscriber tier.
- Calling and SMS built in. 3 phone numbers, 3,000 call minutes and 1,800 SMS/MMS credits.
- No onboarding fee. HubSpot Professional’s $3,000 onboarding alone is more than three years of Telagus Growth.
Quotes, contracts, live chat and call tracking are part of the plan too. See the Telagus pricing page for everything in each tier.
When another CRM might suit you better
No CRM is right for everyone, and a fair comparison should say so.
- Very high email volumes. If you email your full list several times a week, HubSpot and monday allow more sends per month. Telagus Business, with 600,000 emails a year for $1,629, closes much of that gap.
- A large integrations marketplace. HubSpot, Zoho and monday each connect to thousands of third-party apps. Telagus covers the core integrations on Growth, with full API access on Business.
- Enterprise-scale marketing. Large teams that need advanced attribution, custom objects and hundreds of workflows may justify HubSpot Enterprise.
- A pure sales pipeline. If you only need deals and no marketing, Pipedrive Lite at $14 per seat is a lean option.
